Every landman knows the clerk index lies by omission.
When you pull records at a Permian courthouse, you start with the grantor/grantee index: a clerk's typed summary of who conveyed to whom, the instrument type, and a book and page. It tells you a document exists. It does not tell you what the document says. The tract it actually covers, the interest it actually conveyed, the royalty it reserved, the depths it severed. None of that lives in the index. It lives in the document body, and someone on your team has to read all 598 instruments to find it.
That gap is where title work gets slow and where defects hide. TitleLab was built to close it.
The index is a finding aid, not the record
County clerk indexes were designed to help you locate a document, not to describe it. A landman searching the Midland County index for a section will get a list of instruments (assignments, deeds, leases, releases) with parties and a recording reference. From there, the real work begins: pull each image, read the legal description, figure out whether it covers your tract, identify every party and their role, and note what interest changed hands.
Two problems compound. First, the index is only as accurate as the clerk who typed it, and abstractors have chased mis-indexed grantor names and transposed abstract numbers for as long as courthouses have existed. Second, the index simply doesn't carry the information that determines ownership. A single assignment can convey a 3/32 overriding royalty in one survey and reserve a term interest in another. The index shows one line. The document carries the whole story.
Most title platforms stop at the index. They give you a cleaner, searchable version of the same summary data. Better than microfilm, but still a finding aid. You still read every document by hand to build a runsheet you can trust.
TitleLab reads the documents
TitleLab processes the underlying instruments, not the clerk index. It classifies more than 100 document types (deeds, assignments, oil and gas leases, liens, probate filings) and pulls the substance out of each one into structured, searchable fields. Dozens of attributes per instrument, where other platforms give you a handful.
For a land team, that means the things you currently read for are already extracted:
- Every party, with grantor and grantee roles — not just the two names the clerk indexed, but everyone named in the conveyance.
- Lease provisions — royalty rates, primary terms, and severance clauses captured as data, so you can see a 1/8 versus a 3/16 across a whole block without opening a single PDF.
- Prior references — the recording citations a document points back to, so the chain links itself instead of you rebuilding it from scratch.
- Conveyed interests — what actually moved, so you can roll ownership up by tract.
This is extraction, not OCR. OCR gives you a text dump of a page and leaves you to make sense of it. TitleLab returns typed fields you can filter, sort, and query.
Legal descriptions parsed into real tracts
The hardest part of a Permian runsheet is the legal description. Texas gives you surveys and abstracts; overlay PLSS block-and-section calls and platted subdivisions, and a single instrument can describe property four different ways. Matching those descriptions to a common tract is manual, error-prone, and exactly where title defects slip through to closing.
TitleLab parses Texas surveys and abstracts, PLSS coordinates, and platted properties and normalizes them into distinct property tracts. You search by section, block, township, survey, abstract, or party and get structured results at the tract level, instead of a stack of images to sort through. Unlike traditional abstract plants that merely index at the instrument level, TitleLab delivers structured data rolled up by the specific tracts within that instrument, providing unparalleled searchability and precision.
Depth that a fresh index can't match
Coverage is the other half of the problem. TitleLab is live across 22 Permian Basin counties, and it indexes every record, every year, back to the earliest on file: 1875 in Irion County, 1876 in Pecos, Reagan, Reeves, and Crockett. This isn't a recent-records product bolted onto a modern database. It's the full run of the courthouse, structured.
New Mexico's Eddy and Lea counties and the remaining Texas counties are on the roadmap. The 22 live today already cover the core of Midland and Delaware Basin deal flow.
What this changes for underwriting
The payoff is measured in the workflow you already run. Weeks of pulling records, building runsheets in spreadsheets, and cross-referencing legal descriptions across disconnected systems collapse when the documents arrive already classified, parsed, and structured. You underwrite faster because the data is queryable. You catch fewer defects at closing because the chain and the interests are surfaced instead of transcribed by hand. Cost per deal drops because the hours don't go into data entry.
